Commercial Refund Policy

1. Core Philosophy: Milestone Escrow Protection
At BlazeByte Studio, we operate with complete financial and engineering transparency. To protect international clients across the United States, United Kingdom, Canada, Australia, Europe, and the UAE from unfair upfront risk, all project engagements are governed by our verified Two-Stage 50% Milestone Escrow Structure:
Required upon mutual signing of the technical Statement of Work (SOW) to reserve senior engineering sprint capacity, architect system schemas, and produce wireframe prototypes.
Held in milestone escrow and payable strictly upon full delivery and client sign-off on a private staging URL prior to live domain release and source code transfer.
2. Refund Eligibility by Project Phase
If a project is cancelled in writing within 48 hours of contract execution prior to any engineering sprint kickoff, the client receives a 100% full refund of the 50% upfront deposit (less payment processor transaction fees, if any).
If cancellation occurs after system design meetings but before core code development commences, the client is entitled to a 50% pro-rated refund of the initial deposit. All produced architectural documentation, user stories, and wireframes remain the intellectual property of the client.
Once bespoke software engineering, database integration, or performance advertising campaigns have commenced, the initial 50% deposit becomes non-refundable to cover consumed developer hours. However, the client is never billed the remaining 50% balance.
If BlazeByte Studio fails to deliver a functional staging application conforming to the approved technical specification, the client has zero obligation to pay the 50% completion balance, and a full forensic audit is initiated to remediate or refund based on milestone benchmarks.
3. 30-Day Post-Launch Warranty & Defect Guarantee
Every fixed-scope custom website, AI chatbot, and software application delivered by BlazeByte Studio includes a complimentary 30-day post-launch warranty period commencing on the date of production deployment.
- ✓ Free Defect Remediation: Any functional bugs, broken hyperlinks, or responsive layout glitches adhering to the original SOW are patched without additional charges within 24 to 48 business hours.
- ✓ Browser & OS Compatibility: Guaranteed rendering on modern versions of Chrome, Safari, Firefox, and Edge across desktop and mobile form factors.
- ✓ Exclusions: Issues introduced by third-party hosting server outages, client code modifications, or major external API changes (such as breaking updates from third-party APIs) are scoped separately.
4. Zero Hidden Fees Guarantee
BlazeByte Studio guarantees that all quoted prices are all-inclusive for the engineering scope defined in your contract. We do not bill unexpected management overheads, hidden repository export fees, or undisclosed setup charges.
* Note on Transparent Pass-Through Expenses: Client-selected external services (such as custom domain purchases, client-managed Cloudflare/AWS cloud hosting, Stripe/Razorpay payment processing transaction percentages, and third-party AI LLM API token consumption) are billed directly to the client by the respective third-party providers with zero agency markup.
5. Monthly Retainers (Marketing & Maintenance)
Ongoing retainers (such as our SEO Growth, Ads Management, or Website Maintenance packages) operate on a flexible 30-day recurring billing cycle. You may cancel any monthly retainer at any time by providing 14 days written notice prior to the renewal date. Unused days within an active 30-day service cycle are non-refundable once media planning or monthly hours have been allocated.
6. Dispute Resolution & Escalation Process
If you are dissatisfied with any delivery milestone, we request that you contact our senior management directly before initiating third-party bank disputes or chargebacks. We commit to a formal executive review within 48 business hours to establish an agreeable resolution:
